We collect several types of information to provide and improve our services, enhance security, and ensure compliance.

  • Personal Information: This includes your name, email address, phone number, and login credentials. When you register a farm, we also collect farm name, location, and contact details.
  • Usage and Technical Data: We automatically receive information about your browser, IP address, device type, session tokens, and login activity. If you use Google OAuth to sign in, we may receive associated profile data (email, name, etc.).
  • Farm Operational Data: We collect the data you actively input while using modules such as milk production, feed schedules, animal health, financial records, sales, and more. This may include file uploads and exports.
  • Payment Information: When you subscribe to a paid plan, we may collect transaction metadata such as the plan name, payment method, and billing details. Note: We never store full credit card numbers or bank credentials.

2. How We Use Your Information

Your information is used strictly for operational, security, and support purposes:

  • To create and manage your user and farm account.
  • To provide you with access to modules, dashboards, and analytics features.
  • To send essential emails including OTPs, account confirmation, and password reset.
  • To analyze usage trends and enhance system performance, reliability, and support.
  • To comply with legal and regulatory obligations where applicable.

3. Cookies and Tracking

TrackDairy uses cookies only to manage user sessions and enable secure login. We do not use cookies for advertising or tracking purposes. No third-party analytics tools like Google Analytics are currently integrated. If we introduce such tools, we will update this policy and notify users in advance.

4. Third-Party Services

To deliver our services, we rely on trusted third-party vendors that process limited data:

  • Supabase: Provides secure backend services for database, authentication, and file storage.
  • Google OAuth: Allows users to sign in securely using their Google account.
  • Vercel: Hosts and deploys the TrackDairy frontend.
  • Upstash Redis: Handles session data and OTP token storage.

5. Data Storage & Security

We prioritize the safety of your data. All sensitive user data is stored in encrypted form using Supabase's security infrastructure. Passwords are hashed using industry best practices. We regularly audit our systems for vulnerabilities. Deleted accounts are retained in a deactivated state for 30 days before permanent removal.

6. Your Rights and Choices

As a user, you retain full control over your data. You can:

  • Edit your profile and update farm details at any time.
  • Export data from any module in CSV or PDF format.
  • Delete your account from Account Settings. After deletion, your data is retained for 30 days before permanent removal.

7. Children’s Privacy

TrackDairy is not intended for use by children under the age of 13 (or 16 in jurisdictions with higher minimum age). We do not knowingly collect information from minors. If we learn that such data has been collected, it will be promptly deleted.

8. Data Sharing and Disclosure

We do not sell, rent, or trade your data. Information is shared only:

  • With service providers listed above to operate core features.
  • When required by law or government authority.

9. International Users

TrackDairy is accessible globally. By using our service, you understand that your data may be transferred to and processed in countries where our third-party vendors are located. While we strive to align with global privacy standards like GDPR and CCPA, we are not yet formally registered under these regulations.
